2. Information we collect
Depending on how you contact us and the service you request, we may collect:
- your name, email address and telephone number;
- your postcode, installation address and property details;
- the products, sizes, colours, timescales and budget information you provide;
- photographs, drawings and other files you choose to send;
- quotation, survey, order, installation, payment, guarantee and aftercare records;
- correspondence and records of calls or appointments;
- basic technical and security information such as IP address, browser type, server logs and cookie choices; and
- marketing preferences where you have chosen to receive marketing.
Please do not send sensitive personal information through the website enquiry form.
3. How we obtain information
We normally receive information directly from you when you submit a website form, telephone or email us, visit the showroom, request a quotation or place an order. We may also receive relevant project information from another household member, your builder, architect or another person acting with your authority.
4. How and why we use your information
We use personal information to respond to enquiries; arrange consultations; prepare quotations, surveys and specifications; manage supply and installation contracts; coordinate with project partners; take payment; maintain financial records; provide guarantees and aftercare; handle complaints; operate and protect the website; and send marketing only where we have a valid reason and you have not objected or withdrawn consent.
Our lawful bases will normally be steps taken at your request before entering a contract, performance of a contract, compliance with legal obligations and our legitimate interests in running and protecting the business and responding to customers. We rely on consent where the law requires it, including for non-essential cookies and some marketing.
Where we rely on legitimate interests, those interests are providing responsive customer service, keeping appropriate business records, protecting the website and business, and improving our services. We consider the effect on your rights before relying on this basis.
5. Who we share information with
We share only what is reasonably necessary with product manufacturers and suppliers; surveyors, installers, trades and delivery providers; WordPress hosting, security and support providers; Brevo for authenticated website enquiry email delivery; Microsoft 365 and other business email or IT providers; Google reCAPTCHA for website spam, fraud and abuse prevention; payment, accounting, insurance and professional advisers; and regulators or courts where disclosure is required.
We do not sell personal information.
Some service providers may process information outside the UK. Where this happens, we use an applicable UK adequacy regulation or appropriate contractual and organisational safeguards. You may contact us for more information.
6. How long we keep information
We keep personal information only for as long as it is needed for the purpose collected, including legal, tax, insurance, guarantee and dispute requirements. The PM Windows retention schedule is:
- unsuccessful enquiries and quotations: 24 months after the last meaningful contact;
- website form submissions and associated email records: 24 months after the last meaningful contact, unless they become part of a customer record;
- customer, contract, installation and financial records: seven years after the end of the customer relationship or completion of the relevant financial year, whichever is later;
- guarantee and aftercare information: for the applicable guarantee period and up to two years afterwards;
- marketing preferences: until you opt out, plus a minimal suppression record; and
- security and technical logs: normally no longer than 90 days, unless needed to investigate an incident or the hosting provider applies a different documented period.
We may retain information for longer where a legal claim, complaint, insurance matter or regulatory requirement makes this necessary.
7. Cookies and website analytics
The website uses necessary technologies required for security and operation. The enquiry form uses Google reCAPTCHA v3 for spam, fraud and abuse prevention. Google states that reCAPTCHA sets a necessary _GRECAPTCHA cookie when it performs risk analysis.
Non-essential analytics or marketing technologies remain off unless and until a visitor has made a clear choice through the website’s cookie controls. Our separate Cookie Policy provides more information.
8. Security
We use reasonable technical and organisational measures to protect information, including controlled WordPress access, authenticated email delivery, software updates, backups and access restrictions. No internet service is completely secure.
9. Your rights
Depending on the circumstances, you may have rights to be informed; receive a copy of your information; correct it; request erasure or restriction; object to legitimate-interest processing or direct marketing; receive certain information in a portable form; and withdraw consent.

You have an absolute right to object to direct marketing. Tell us at any time if you do not want to receive it.
10. Complaints
Please contact PM Windows first so that we can try to resolve your concern. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
11. Children and automated decisions
Our services are intended for homeowners and other adults. We do not knowingly use the website to collect information from children, and we do not make decisions that have legal or similarly significant effects solely through automated processing.
